To create a template that requires any type of action on an actual document (sign, initial, fill fields or read & acknowledge), FOCUS451 provides an easy to use, drag-n-drop design wizard.

  1. Once the action is selected (Staff/Employee only, Manager only etc.), click the icon on the bottom of t
  2. Upload a PDF document that you want to use. The size limitation is dependent on your subscription. However, all plans will allow up to 1 MB size of PDF - which suits most regular documents.
    1. Note: We recommend using PDF documents that are created by an appropriate PDF creating tool. Generally most computer operating systems will allow "Save as" into PDF format. We highly discourage using PDF documents that are created by taking a photo of the document without any PDF processing, as depending on the photo capture capabilities, the final PDF document may lack quality, clarity and may be too big.
  3. Click on the "Document Wizard" button to get into the design wizard. This will bring up your PDF document preview.

  1. LEFT PANEL will show all available fields that system can auto-populate during document processing.

  2. Each field type is identified by unique color depending upon whether the contents belong to Employee, Manager, Business or Location.

  3. Custom fields are shown in GRAY color. At present, FOCUS451 supports the following fields:

    • TEXT

    • DATE

    • CHECKBOX

  4. Note: It is important to note that the system will auto-populate data in the Employee, Manager, Business and Location fields based on the data entered the admins and users. Each user, including the Company Admin needs to ensure that correct and current information is in the system.

  5. RIGHT PANEL content will change dynamically to provide instructions and/or setting properties of each filed (such as the “Recipient” and if it is a “Required” field).

    • Now, simply drag-n-drop the required fields onto your PDF document in the center panel and position them appropriately.

    • To MOVE the field, simply hover the mouse on the field until the mouse turns “cross-hair” and click on th it.

    • To RE-SIZE the field, simply click on the left bottom corner of the field and drag it to appropriate size.

    • Note: We recommend that you make the field sizes for auto population to be big enough to fit your data. Otherwise, during processing data may get truncated if it cannot fit in the available space.

  6. Once you have added all the fields necessary for your document processing, click on “SAVE AND CLOSE” in the top hand corner.
  7. This will bring you back into the “Template Docs” tab and you can proceed further as before.
