FOCUS451's intelligent engine tracks each compliance requirement (Template) and based on the properties of the template, it will automatically assign and re-assign the template to appropriate users. It uses expiration dates, periodic refresh requirement, changes in user's stage, department or location and other parameters to trigger auto enforcement.
To enable Auto Enforcement based on expiration of a supplemental document, the template properties need to be set as follows:
Go to the "Supplemental Docs" tab for the template
- Select "Yes" to the question "Does this template require any supplemental documents from the Assignee"?
- Click on the "Document +" button located on the right hand side of the question: "What document(s) must the Assignee provide?
- Enter the details for the document:
- Document Title, such as, CPR certificate, Permit etc.
- Select the box that says "Document Required?"
- This forces the user to upload the document, without a document upload, the task is not considered completed.
- Select the box that says "Expiry Date Required?"
- This forces the user to enter the document expiry date in the system.
- Auto Enforcement: The user entered expiration date is used to track and re-assign the template to the user prior to expiration.
- The template can be configured for multiple supplemental documents to be uploaded. Simply click on the "Document +" button to add multiple uploads.
- Note: In case of multiple expiry dates due to multiple document uploaded, the earliest of the expiration date will be used by the system to trigger Auto Enforcement.
- Upload a file for the user to fill outside of FOCUS451.
- Note: If a user is required to download and fill a document outside of FOCUS451 then that document can be given to the user through "Upload file" feature. In this case, the company admin will upload that document into the system, so it is made available to the Assignee to download, fill it up and then upload it to the system for compliance. To use this feature:
- An example for this is a Doctor's note that the user may need to get it filled and signed by entities outside of FOCUS451.
